DocDB for Working Group Meetings

Using DocDB for Working Groups

The MINOS Documents database - the upgrade from NuMI Notes - is to be used for Working Group Meetings from this time (Nov 2005) forward. Agendas and materials for meetings should not be added to the Working Group pages and directories as in the past. Instead agendas and meeting materials are entered into DocDB. The directories and files in the old areas will be left as is until the materials from meetings prior to Nov 2005 are eventually entered into DocDB.

Viewing Meeting Materials

All the Working Group meetings are Events in DocDB.

  1. Follow the MINOS DocBD link in the sidebar menu.
  2. Log on to access our internal material, either via certificate or username-passwd
  3. Select Events, the link at the bottom of the page
  4. Select the appropriate meeting from one of the many selections
  5. Select the presentation from one of the selections
  6. If the meeting conveners have not yet created the meeting "event", then there are no meetings or presentations to select.

Conveners - Create a Meeting

To create a meeting do the following:

  1. Follow the MINOS DocBD link in the sidebar menu.
  2. Log on to access our internal material, either via certificate or username-passwd
  3. Select Create or change..., the first link at the top of the page
  4. Go down to the Event Management section. Click on Create a new event with only one session
  5. Select the appropriate Event Group from the left hand list and fill out the details of the meeting and the agenda. You can always come back later and modify the details if necessary. Add the meeting date into the Description - this will make the date show up on the Events page, and then people looking for the meeting in DocDB can identify the appropriate meeting by the date.
  6. The Viewable by option should be set to numirw
  7. Click the Create Events and Talks button at the bottom of the page.
  8. Once you have created the first meeting, you can go to this meeting's page, and there will be a button on the page that allows you to schedule future events of the same type at regular intervals.
  9. People can post their talks to the agenda only AFTER the meeting has been created.

Posting Materials

Files

  1. Follow the MINOS DocBD link in the sidebar menu.
  2. Log on to access our internal material, either via certificate or username-passwd
  3. Select Events, the link at the bottom of the page
  4. Select the appropriate meeting from one of the many selections
  5. Select Upload a document..... - fill in the form, and submit.

Web Pages

A number of folks present their talks at working groups as web pages. These tend to evolve over time and it would be very nice to capture them in the database at the time of the presentation. In the spirit of trying to archive these talks the following method is probably the easiest:

  1. In your web browser chose Save As from the file menu
  2. Select the option "Web Page, complete (*.htm,*.html)"
  3. This will save your main html page and will take all the stuff referred to on your page such as plots and put them into a directory. It will not do anything with the stuff referred to by links, they will remain as links.
  4. You can now tar up the whole lot and upload it.

To upload the web page --

  1. Click on the "Create or change" link at the top of the private page.
  2. Scroll down to the Customized Insert/Modify
  3. Check "Archive" in the Upload type section
  4. Fill out the form - don't forget to specify the meeting you are uploading to.
  5. The upload will unwind the stuff and create a web page with all your plots in it.
  6. You may have to then go to the listing of the meeting and click on the Confirm Match button to get your talk into the correct slot in the agenda.
